Welcome pack

The CEPI team welcomes you as a member of one of its committees or issue groups and is grateful to you for the time that you are able to devote to it. This welcome pack is designed to provide facts and information facilitating your work in the committees as well as your associated travel and accommodation.

How to reach our offices

 

 

We have prepared a map with instructions on how to get to CEPI whether you are arriving by air, rail or car (see map).
If you require a taxi, you can either walk to the taxi rank as indicated on the map (about 4 minutes away) or you can ask our receptionist to order one for you by filling in a taxi reservation form you can find in all CEPI meeting rooms. If you choose the latter, please wait in the office. You will be notified when the taxi arrives.
CEPI has arranged a special airport rate of €34.

 

 

Safety

 

 

 

The staircase doors should be closed at all times. Only in case of emergency should the staircase be used. If the fire alarm goes off while you are attending a meeting at CEPI, please exit the building via the staircase door situated in meeting room 2 to the ground floor. Once out of the building, cross the road (rue Gachard) and wait until you are given permission to return to the office.
Please note that the whole office area, including toilets, is a designated no smoking area at all times.
 

 

Internet Access in the CEPI Office

 

 

If you have a WiFi-enabled laptop, you can connect to our office network and access the internet. The network is called Meeting_8th and the password is unfoldthefuture.


 

Where to stay

 

 

For the benefit of those attending meetings at CEPI, we have prepared a list of hotels in the local area. All are within easy walking distance. CEPI makes no claims for the quality and service offered by these hotels.

Organisation of CEPI Meetings

 

Committee meetings

Meetings are held at CEPI’s offices, with the exception of the spring meetings which are sometimes held in other European locations co-hosted by national associations. Agendas and documents will be made available on CEPI’s Members Area (see below) two weeks before the meeting. An attendance form is circulated with the agenda; please fill this in and return it to us by fax or email to allow us to estimate numbers for seating and meals.
CEPI Committee meetings are held during ‘committee weeks’. These are pre-determined and take place three times a year. Here are the dates for 2014-2015:


29 September- 3 October 2014
5 January – 9 January 2015
30 March – 3 April 2015
8 June – 12 June 2015
 

5 October – 9 October 2015


You will be asked to complete an attendance form and send it to the CEPI secretariat by email or fax before each meeting (see Annex). This facilitates the organisation of the meeting at the CEPI office and CEPI can verify that a representative number of members will be present for the meeting.
Committee members are asked to bring all necessary documents to the meetings. If you do not have your papers with you, please let the relevant assistant know and she will print the documents for you.


Online meetings
CEPI also uses GoToMeeting, an online meeting tool. This is an easy-to-use internet-based tool that allows for attendees to join online meetings and, if needed, share their screens. All you will need is a good internet connection, a computer and a headset. Joining via telephone is also possible but you will pay for the call. Please consult the GoToMeeting quick guidelines CEPI has prepared before joining a meeting: www.cepi.org/members/gotomeeting-guidelines.

 

Compliance with EU Competition Rules

 

 

 

We have prepared a ‘Dos and Don’ts’ checklist to be kept in mind by all persons involved in CEPI meetings. This is to ensure meetings are held in accordance with EU competition law as well as the CEPI Guidelines for Compliance with EU competition rules. Both the checklist and the full CEPI guidelines are available at www.cepi.org/resourcecentre and a copy can be found in all CEPI meeting rooms.
Please make sure that you read them carefully before attending CEPI meetings.

CEPI Members Area

 

 

 

Access

When you become a CEPI member, you are automatically given access to our Members Area. Members Area is the exclusive part of CEPI’s website and includes:
- Committee and issue group pages with meeting documents
- A resource centre, with useful documents for CEPI members on topics such as trade, statistics, economic overview etc. (www.cepi.org/resourcecentre)
- A statistics page, regrouping all CEPI statistics
When you become a committee member, you will receive an automatic email asking you to set your password by clicking on a link. If you forget the password you set, please go to www.cepi.org/user and click on ‘have you forgotten your password?’ You will then receive an email asking you to reset it.

Please do not ask CEPI staff members to give you a password as this is technically impossible. You must set it yourself.
Instant notifications
The CEPI website gives you the possibility to receive instant notifications every time a press release, publication, position paper or news is posted on the public CEPI website.
To activate notifications:
- Go to http://www.cepi.org/user/?destination=user and log in.
- Click on ‘edit’.
- Scroll down until you see the list of interests. Tick the boxes next to your interests to receive notifications about relevant documents posted.
- Click on save.

To stop receiving notifications:
- Go to http://www.cepi.org/user/?destination=user and log in.
- Click on ‘edit’.
- Untick the boxes next to your interests to stop receiving notifications.
- Click on save.
 

CEPI Structure

 

 

CEPI is headed by Director General, Marco Mensink. It is managed by a Board composed of chairmen of national associations and CEOs of the 14 largest companies. The Association Directors’ Group (ADG) is the senior advisory group to the Director General of CEPI and is composed of Director Generals of national associations. The decisions of the Board are executed by the Steering Committee, composed of three Board members, three ADG members and the Director General.
The three standing committees (Environment & Safety, Raw Materials and Climate Change & Energy) take long-term strategic perspectives on the issues affecting the industry.
